July 12, 2005—Board Meeting Minutes

 

The meeting came to order at 7:50PM

New Business

(1) Last meetings minutes (May 2005) were approved.

(2) Joe Cantu made a motion to elect Megan Raymond and Nini Almy to the board.  Seconded and approved.  The board is now full with 7 total members.
(3) Joe Gottlieb filled in for Karla Berger as Roads chair for 1 month during KarlaÕs absence.  Deficiencies in the paving job were identified (mainly residual gravel).  Joe worked with VDOT and they will return with sweepers to remove the gravel and correct other deficiencies.

(4) Pat Alt volunteered to take the lead to investigate obtaining a group rate for trash collection for the neighborhood.  Please read and respond to the flyer that will be placed in your mailbox soon.  Please thank Pat for her efforts.

(5) Mailbox disrepair – the mailboxes throughout the neighborhood are continuing to deteriorate.  The board voted to send a special flyer to urge all homeowners to repair and repaint their mailboxes.  Paint can be obtained FOR FREE from Sally Mank 963-7962.

(6) Boundary survey – the BreedenÕs land to our south is in the process of being sold.  It is unclear exactly where their property line meets ours.  The board will discuss having a surveyor mark our property with stakes at the next meeting.  Estimated cost would be about $3000.
(7) Grass cutting on left bank between 1713 and 1693 Stoney Creek Drive – this has not been cut in several years due to a prior erosion problem.  The board discussed weed-eating this area – further discussion will take place at the next meeting.

(8) Dogie pots – please remember to tie your bags before placing them in the pots.  Dixon Trash currently empties these for free and has since they were installed– thanks to Dixon Trash.  ItÕs really messy when the bags are not tied.
(9) Please remember that all pets must be on leashes.  We unfortunately have had a neighbor recently bitten by a dog that was running loose.  Article VIII Section 1 (e) ÒNo household pet shall be permitted off the lot occupied by such petsÕ owner except on a leash.Ó

 

Old Business

(1) Unpaid dues – 2 homeowners have still not paid dues for 2005.  One homeowner is delinquent for the last 2 years – the board is pursuing these dues plus legal fees through small claims court.  Court date – July 20, 10:30AM.

(2) Jenny Commins investigated the possibility of MCSHA becoming a not-for-profit organization in order to accept donations of land to increase our buffering common area.  Unfortunately, HOA do not typically qualify as this type of tax status, but Jenny is investigating other possibilities.  Thanks Jenny!

(3) Volunteers are desperately needed to help keep our neighborhood beautiful.  The following positions are open:

- ARC Chair – Sally Mank would like to retire, please consider volunteering for this committee or this job.

- Grounds Chair – to oversee grass cutting and common ground area maintenance.   volunteer

- Boundary Chairperson – Karla Berger has retired.     volunteer

- Web site chair – to maintain the web site http://avenue.org/MCSHA      volunteer

- Complaint chairperson – to organize and be the point person for complaints.     volunteer

(4) Sink South of 1666 Shady Grove (on the left before 1666 going down) – the board members will examine this prior to next meeting.

(5) New plastic mailboxes – Don (295 3648) has 7 in his garage,  cost is $91 eachÉcheck to MCSHA.  4Óx4Ó post needed.

 

Committee Reports:

1.  Architectural Review (Chairperson – Sally Mank)

á     Three new applications approved – all were very well done.  1656 Stoney Creek drive – screened in porch, 1672 Stoney Creek drive – window replacement, 1651 Stoney Creek drive - Rear deck with pergola.

2.  Grounds and Maintenance (Chairperson – Don LepschÉneed a volunteer to take this job)

á     see Old and New Business sections.  Thanks to Karla Berger for an excellent job dealing with VDOT during the repaving process.

3.  Social (Chairperson – Jenny Commins)

á     Fall neighborhood picnic – stayed tuned for details.

á     Neighborhood phone directory – Jenny is investigating this idea.

4.  Website (Chairperson – Don Lepsch) avenue.org/mcsha  Éneed a volunteer to take this job

á     Don Lepsch is the caretaker – contact him for information.

5.  Treasury (Chairperson – Farrell Vangelopoulos)

á     The board has approximately $55K in the treasury.

6.  Pond (Chairperson – Don Lepsch)

á     Six more grass eating carp were added to the pond to reduce the grass growth.  Total cost $60.

á     Don Lepsch sprayed Roundup once and will spray once more.  The dam and the fire road are scheduled for weed eating.
