March 21, 2005—Annual Meeting Minutes
The last official meeting
minutes (January 2005) were approved.
Congratulations to our
new board members Jenny Cummins and Joe Cantu
New Business
(1) Introduction of new board
members – Joe Cantu and Jenny Cummins.
Congratulations and thanks for volunteering to serve!
(2) Outgoing board members -
thank you to Rachel Rust and Christine Cavaliere for their service to the
board. We will miss them greatly.
(3) 501C3 – Jenny Cummins will
investigate MCS becoming a non-profit organization. This would facilitate our attempt to have neighboring land
(Forest Lodge Land Trust) donate “buffer land” to protect our borders with
woods in the event of future development.
(4) House mildew – Dell Erwin
reports that Albemarle Heating and Air Conditioning was very helpful for
eliminating this problem.
(5) State and County law
codes, Real estate and Tax maps – are all available online, fyi. Email Don if you want the URL.
(6) Money – Dues yield
~$16K/year income. Typical annual
expenses ~$12K. Last year $20K was
spent (extra on pond maintenance, clean up from storms). Dues are currently still set at $78/year.
(7) Neighborhood clean up –
several neighbors generally carry trash bags when they walk (Sally Mank,
Marilyn Berard). Please thank them if
you see them, and remember that neighborhood cleanliness is everyone’s
responsibility. Consider picking up
trash when you walk too!
(8) Heat pumps – reminder to
homeowners to have their heat pumps serviced (indoor and outdoor motor bearings
need oiling (unless they are sealed bearings) annually, air filters should be
changed every few months). Please call
Don Lepsch if you are replacing your heat pump – he likes spare parts!
(9) Nuisance dog barking –
high frequency dog-barking reducers are commercially available. Residents who have neighbors with barking
dogs may want to consider purchasing one of these.
(10) Unpaid dues – 29 homeowners
have still not paid their dues from 2005, and 1 homeowner is still delinquent
from 2004. Dues are mandatory – please
pay ASAP. The board has enough work to
do without chasing down delinquent dues.
(11) Cars parking on Copper
Hill sometimes impede traffic…If you can please park in your driveway as a
courtesy to your neighbor.
Old Business
(1) Currently we need
volunteers for the following jobs:
- Architecture committee chair - Webmaster chairperson -
Welcome committee chairperson
- Complaint chairperson - Grounds and Maintenance -
Volunteer chairperson
(2) Complaints – the board commonly receives complaints for the
following issues:
- Loud music -
Dogs barking - Signs of any kind - Speeding on Stoney Creek Drive and
dog droppings not picked up by the owner
The covenants are very
specific - “no noxious or offensive activities are permitted”. Please be considerate and be good neighbors.
(3) Reminder – All
construction must be approved by the architecture review committee. No plastic or metal sheds are allowed. If you would like to build (sheds,
additions, decks, etc.) print an ARC application from the web site HTTP://AVENUE.ORG/MCSHA.
(4) Laura Morgan – thanks for

(5) Mailboxes – please paint
your mailbox to prevent rust/wood decay.
Mailbox paint is free – contact Sally Mank (963-7962). The board purchased 6 replacement mailboxes
– 5 have been sold. The cost is $87 and
these are plastic mailboxes (no maintenance/painting required).
(6) Grass cutting in common
areas – the board has discussed eliminating grass cutting in certain common
areas that are not readily visible from the roads. These areas will be identified in future minutes. Residents of Bent Tree court asked to
preserve mowing in their area.
(7) Speed humps on Stoney
Creek Drive – the board has considered contacting VDOT about putting speed
bumps on Stoney Creek Drive. Most
people have been supportive of this effort but opposition has been
expressed. Please consider coming to a
future meeting if you have strong opinions about this issue.
Appeal for
Volunteers:
(1) The board of directors is
a volunteer organization, which exists solely to make our neighborhood a great
place to live. Please consider joining
the board or a committee to meet your neighbors and improve Mill Creek
South. New members are ALWAYS welcome.
(2) Pond Trail Maintenance Day – Saturday, April 9th,
10AM - noon. Meet your neighbors and help build trails around our pond.
